Combining wearable technology with task management software to transform the daily operations of an aged care centre.

Challenge:
Paperwork
Daily task rosters were maintained on paperwork. Personnel centred their day around the administration desk. They needed to review the schedule to see which tasks they needed to do, come back to the schedule to update which tasks they had completed, and log in to the computer to mark off checklists. Caregivers, therapists, and support staff entered data manually into the system.
Management
Changes were a nightmare. An administrator needed to call the previous assignee to remove their assignment, then call the new assignee to let them know, and then update the schedule if everyone confirmed.
Reporting
Lastly, it was difficult for management to report on what was happening. System updates were inconsistent, no-one knew how long tasks took, and management couldn’t provide clear records to family members of what care had been provided for residents.
Transformation:
This situation changed following the introduction of smartwatch based updates with a centralised planning console.

The smartwatch facilitates planning, scheduling, and completion of day to day tasks.
Personnel have quick access to task lists and schedules on their wrist without constantly needing to open a mobile phone or return to a centralised administration desk.
The watch also gives them access to other communication and health utilities throughout the day, and they can use the time saved to focus more on the care of residents.

Real-time Management and Visibility
Supervisors have real time access to a centralised console to schedule the day, monitor progress, and make adjustments as necessary. Team members receive updates automatically on their watches without being interrupted by phone calls or returning to a centralised service desk.

Digitised Reporting
Lastly, management has access to reporting to view statistics on task completions around the centre, ensuring appropriate care levels while being mindful of the best way to use team efforts. These reports can also be issued to residents’ family members, to give a timestamped record of what services have been provided and when.
